Overview
In the “Content” menu, you can access the Media Library. It is the place where all media files attached to content items will be shown. They can be images, PDF files, word documents, etc.
You can either prepare your media files in the media library before using them in your content or upload them in the media library while you’re editing your content.
Content items use a reference to the media items, so when you update a media file, all content items using that media file will use the new picture or document.
File naming
To best organize your images/documents and ensure they are searchable, it is advisable to name your file with a standardized naming scheme before you upload them to the web.
General tips to name your files
- Use short names
- Try to use only lowercase characters for consistency
- Use hyphens to separate words – do not leave blank spaces between words
How to name images
Use the following naming convention: keywords-year-language
- Keywords: use two-three keywords to identify the asset you are uploading
- Year: specify the year of creation (not the date of upload)
- Language: indicate the language for publications covers; for consistency, use ISO codes to identify languages, e.g. en for English; fr for French; es for Spanish
Examples of images' file names
- Photo of a domestic worker in Qatar: domestic-qatar-photo-2020
- Spanish version of a cover of a report about telework: telework-report-cover-2021-es.png
How to name documents
Use the following naming convention: title-type-language
- Title: use a short version of the title, or two to three keywords from the title
- Type: indicate the type of document, e.g. brief, report, working paper, project doc, meeting document, etc.
- Year: specify the year of creation (not the date of upload)
- Language: for consistency, use ISO codes to identify languages, e.g. en for English; fr for French; es for Spanish
Examples of documents' file names
- Working paper about digital labour platforms in China: digital-platforms-china-paper-2023-en
- Report about informality and child labour: informality-childlabour-report-2023-en
Please note that when you upload a document to the media library, you can tweak the title that shows to the users, which can be different from the file name.
Add new media
- Ensure you are logged in, and go to Content > My Content > Add Media > Choose from the list.

- Browse to find and upload the file, and fill in all the cells.
- Follow general tips to name you files and how to write a good caption.
The video below shows how to add a document. Follow the same process to add any other type of media to the media library.
Edit content in media library
- Go to Content > My Content > Media library
- Search for the media you want to edit by using the filter options.
- Click on the pencil icon and edit the targeted resource.
